Graduate students have the right to choose to hold a thesis or dissertation defence in an electronically mediated, audio/visual, online format (via Zoom) or to defer the defence with no penalty until such time as the university recommends a return to in-person formats for classes and other program requirements. Students wishing to postpone a defence that has already been booked must promptly consult with their supervisor, supervisory committee, and Graduate Program Assistant via email. Graduate students who would like to move a scheduled in-person defence to an “online defence,” using Zoom, can do so by emailing their supervisor and supervisory committee their confirmation that they would like to hold the defence in this electronically mediated format. If for any reason the external examiner is unable to participate in an electronically mediated defence, then the defence must be cancelled and will be rescheduled when the university recommends a return to in-person formats for classes and other program requirements. Cancelations must be conveyed to FGS: email@example.com
Graduate students who do not yet have defence dates can book online defences by emailing their supervisor, supervisory committee members, and Graduate Program Assistant to request to book a defence in this electronically mediated format. Please notify firstname.lastname@example.org of any upcoming defences that graduate students have requested to cancel, specifying relevant details including student name, number and defence date and time.
The Faculty of Graduate Studies supports Zoom as the only authorized cloud video conferencing tool to use for defences. Please arrange Zoom defences for both graduate students wishing to move scheduled defence dates online or for booking new online defence dates. Oral Exam Reports will need to be signed electronically upon the completion of a Zoom defence and submitted directly to firstname.lastname@example.org. Please communicate in advance with the supervisor and members of the supervisory committee to facilitate the collection of electronic signatures. Please note that the “Revisions Approved Memorandum” can also be signed electronically and submitted to email@example.com. Signatures can be collected over email, either through a digital signature on the PDF form, or an accompanying email attachment stating “I have read and approved this submission.”
